What is included in SMSF administration?
SMSF administration can include collecting and organizing fund records, processing transactions, reconciling bank and investment accounts, maintaining member information and preparing records for annual accounting and audit. The exact scope depends on the fund's investments, contribution activity, pension position, borrowing arrangements and preferred update frequency.
A fund with a small number of straightforward investments may need periodic processing. A fund with property, pensions, corporate actions, complex contributions or an LRBA may need more frequent updates and additional supporting schedules. The service should reflect the fund's actual activity rather than treating every SMSF as the same.
Administration, accounting and audit are different
Understanding the distinction between ongoing record processing, year-end accounts preparation, and statutory auditing ensures a smooth compliance process:
1. Ongoing Administration
Administration keeps the fund's records organized and processed during the year. Captures transactions, categorizes contributions, tracks drawdowns, and collects external statements.
2. SMSF Accounting
SMSF accounting uses those records to prepare the annual financial statements, tax calculations and SMSF annual return.
3. Independent SMSF Audit
The annual audit tests the financial and compliance information and must be carried out independently by an approved SMSF auditor.
Financially Up can scope administration and our SMSF accounting service together where appropriate. We can prepare and coordinate the information needed for audit, but the audit itself must be completed by an independent approved SMSF auditor.
Common SMSF administration tasks during the year
Maintaining routine administrative rigor throughout the income year ensures all records, member events, and tax transactions are accurately tracked:
Reconciling the SMSF bank account and investment cash accounts
Regular matching of primary bank accounts, broker cash accounts, and term deposit records.
Processing investment purchases, sales, distributions, dividends and interest
Capturing equities trades, dividend reinvestments, franking credits, and managed fund distribution statements.
Recording contributions and preserving evidence about their source and classification
Classifying employer SG, salary sacrifice, personal concessional, and non-concessional member contributions.
Recording benefits and pension payments from trustee instructions and supporting records
Monitoring minimum pension drawdown thresholds and recording lump sum payments from trustee minutes.
Maintaining property income and expense records
Collating monthly rental statements, outgoings invoices, municipal rates, and tenant lease agreements.
Tracking permitted borrowing and repayments under an LRBA
Recording bare trust loan repayments, interest breakdowns, and lender statements under compliant terms.
Organizing contracts, invoices, investment statements and year-end reports
Assembling a central, audit-ready digital repository of third-party contracts, tax invoices, and statements.
Maintaining schedules for member balances and investment activity
Tracking accumulation and retirement-phase member equity, profit allocations, and tax-free percentages.
Identifying missing information before annual accounting begins
Proactively detecting gaps, missing dividend statements, or unclassified items well before audit deadlines.
What records must SMSF trustees retain?
SMSF trustees have formal record-keeping obligations. Accounting records that explain the fund's transactions and financial position, annual operating statements and lodged returns generally need to be kept for at least five years. Certain trustee and governance records generally need to be kept for at least 10 years, including trustee meeting minutes, records of trustee or director changes, written trustee consents and copies of member reports.
Some transaction records may need to be retained longer for another reason. For example, acquisition and improvement records may still be required when an asset is sold many years later. A consistent document system also makes it easier to respond when the auditor requests evidence.
Minimum 5-Year Retention: Financial & Accounting Records
Records explaining routine transactions, annual tax positions, and operational results must be retained for at least five income years:
- Accounting ledgers, general journals, and trial balances
- Annual operating statements and statements of financial position
- Lodged copies of the SMSF annual return (SAR) and notices of assessment
Minimum 10-Year Retention: Trustee Governance & Capital Records
Fiduciary governance documents and assets with long holding periods must be retained for at least ten years or longer:
- Trustee meeting minutes and formal written resolutions
- Records of trustee or director appointments, resignations, and signed consents
- Asset acquisition contracts, conveyancing, stamp duty, and renovation records (kept until disposal)
How does the annual audit and lodgement workflow operate?
Every SMSF must be audited for each income year by an independent approved SMSF auditor. Trustees must appoint the auditor at least 45 days before the SMSF annual return is due, and the audit must be completed before the return is lodged.
Records are collected, processed and reconciled.
Bank feeds, platform reports, property manager statements, and expense invoices are processed and balanced.
Missing documents and unexplained transactions are identified with the trustees.
Clarification of unallocated transfers, missing trade confirmations, or ambiguous member activity.
Year-end accounts, tax calculations and the annual return are prepared.
Compiling the operating statement, balance sheet, member benefit statements, and draft SAR.
The independent approved SMSF auditor receives the accounts and supporting evidence.
Audit file handover to an ASIC-registered auditor appointed at least 45 days prior to the SAR due date.
Audit matters are addressed, and the SMSF annual return is lodged when authorized.
Resolving auditor queries, obtaining trustee signatures, and electronically lodging the SAR with the ATO.
The SMSF annual return combines the fund's income tax return, regulatory information, member contribution reporting and the SMSF supervisory levy. Keeping the administration substantially current allows the year-end process to focus on adjustments, tax and reporting instead of reconstructing routine transactions.
Property, LRBAs and other complex investments
Some investments require extra administration. Property may involve leases, agent statements, invoices, valuations and capital expenditure records. An LRBA adds loan statements, holding-trust documents and repayment tracking. Corporate actions, unlisted investments and pension payments can also create additional evidence and allocation work.
Can an administrator take over trustee responsibility?
No. Outsourced SMSF administration does not transfer trustee responsibility. Trustees remain responsible for complying with superannuation law, keeping an appropriate investment strategy, making investment decisions and authorizing benefits and pensions. Financially Up does not use an administration engagement to manage investments, recommend financial products or make trustee decisions.
The phrase SMSF management services is sometimes used broadly. Our scope is accounting, tax and compliance administration. Where legal advice, financial product advice or investment strategy recommendations are needed, the appropriate qualified or authorized professional may also be required.

Frequently asked questions
Common questions about ongoing administration vs annual accounting, auditor independence, processing frequency, and overdue backlogs.
Yes. Administration keeps the records current, while annual accounting uses those records to prepare the financial statements, tax calculations and SMSF annual return. Both functions can be scoped together where appropriate.
