What does Xero bookkeeping involve?

Xero bookkeeping is the process of maintaining business records within the Xero accounting platform. The aim is to keep transactions coded consistently, accounts reconciled and supporting information organised so the file reflects the business activity as accurately as practical.

Depending on scope, Financially Up can assist with bank reconciliation, transaction coding, review of account balances, bookkeeping clean-up, source-document organisation and preparation of the Xero file for BAS, tax or financial reporting work.

Scope 01

Bank & Credit-Card Reconciliation

Matching electronic bank feeds against statements, investigating variances, and ensuring recorded transactions align with actual cash movements.

Scope 02

Consistent Transaction Coding

Classifying income and expense lines to correct chart-of-accounts codes with accurate GST tax treatments rather than automatic guessing.

Scope 03

Review of Account Balances

Monitoring suspense lines, loan balances, clearing accounts, and debtor/creditor ledgers to maintain accounting integrity across periods.

Scope 04

Bookkeeping Clean-Up

Identifying and resolving historical errors, duplicate transactions, stale unreconciled items, and out-of-balance opening accounts.

Scope 05

Source-Document Organisation

Attaching invoices, receipts, and supporting paperwork directly to Xero transactions to satisfy statutory record-keeping rules.

Scope 06

Preparation for BAS & Year-End Tax

Delivering a fully reconciled, clean Xero ledger ready for seamless preparation and lodgement of activity statements and tax returns.

Need a clean, verified Xero ledger for your business? We tailor the ongoing routine to your transaction volume.

Who may need a Xero bookkeeper?

A Xero bookkeeper can be useful when the software is in place but the records are not being maintained consistently. Common signs include growing numbers of unreconciled transactions, duplicated or unclear accounts, inconsistent expense coding, old items that have never been resolved, or a file that becomes stressful at BAS or tax time.

Small businesses using Xero but struggling to keep the file current

When business operations take priority, transaction backlogs can build up quickly. We step in to keep your records current week-in, week-out.

Scenario 01

Owners who want to outsource routine bookkeeping

Free up valuable executive time by delegating data processing, reconciliations, and document management to certified professionals.

Scenario 02

Businesses that have changed bookkeepers or accounting processes

Smoothly navigate staff transitions or previous process gaps without risking lost transaction history or interrupted compliance.

Scenario 03

Businesses needing clean-up before BAS or year-end work

Eliminate stressful quarter-end or tax-time scrambles by resolving unreconciled lines, incorrect codes, and suspense balances first.

Scenario 04

Growing businesses that want a more consistent monthly routine

Establish reliable, predictable month-end closing procedures that provide trustworthy figures for management decisions and cash forecasting.

Scenario 05

Owners who need help understanding what information their bookkeeper requires

Get crystal-clear document checklists and collaborative support so you always know what receipts, statements, and details are needed.

Bank Reconciliation, Coding & GST Records

Reliable bookkeeping goes beyond automated bank rules. It requires careful verification, disciplined account coding and strict adherence to Australian Taxation Office statutory record-keeping rules.

Reconciliation & Classification

Bank reconciliation and transaction coding

Reconciliation is a core part of maintaining reliable bookkeeping records. It involves checking transactions in the accounting file against bank, credit-card or other financial records and resolving differences rather than simply accepting every imported item.

Correct coding also matters. A transaction may need to be classified to the appropriate income, expense, asset, liability or equity account, and GST treatment may depend on the nature of the transaction and the supporting evidence. If the tax treatment is unclear, it should be reviewed rather than guessed.

We resolve unmatched entries, multi-line splits, and bank fee variances systematically so your general ledger reflects actual cash balances.

Rigorous general ledger classification
ATO Record-Keeping Compliance

Xero bookkeeping and GST records

For GST-registered businesses, bookkeeping records should support the sales, purchases, GST credits and other figures reported through activity statements. The ATO generally requires most business records to be kept for five years from when they are prepared or obtained, or when the relevant transaction is completed, whichever is later. Some records may need to be kept for longer, depending on what they relate to.

Xero can be used to organise those records, but using software does not replace the need for valid source documents or correct GST treatment. Where a transaction's GST treatment is unclear, it should be reviewed rather than guessed. Where BAS preparation and lodgement are needed, these can be coordinated with Financially Up's BAS and GST lodgement service.

ATO 5-Year Rule: Source tax invoices, bank statements, and deduction receipts must be retained electronically for a minimum of 5 years.

Coordinated BAS preparation

Clean-Up & Ongoing Xero Bookkeeping Support

Whether your file requires an initial diagnostic clean-up or a reliable monthly rhythm, we tailor the engagement to your actual transaction volume and business complexity.

Clean-up of an existing Xero file

A bookkeeping clean-up may be required when records have been maintained inconsistently or left unresolved for a period. The work can involve reconciling bank accounts, reviewing coding, identifying duplicate or stale items, checking opening balances and clarifying transactions that need supporting documents.

The clean-up scope depends on the condition of the file. Historical corrections may also affect previously lodged BAS or tax returns, so material issues may need separate tax or compliance review before changes are made.

Our qualified CPAs assess the impact of prior entries on historical BAS lodgements before adjustments are committed.

Detailed file remediation

Ongoing Xero bookkeeping support

Once the file is in order, an ongoing process can help keep it that way. Financially Up can agree on a recurring bookkeeping scope based on transaction volume, number of bank accounts, reporting needs and the level of review required. Businesses wanting a set recurring cadence can also consider our monthly bookkeeping services.

For broader support that is not limited to one software platform, see our main bookkeeping services page.

Enjoy peace of mind with recurring month-end reconciliations, timely coding, and regular management visibility.
