What is bank reconciliation?
A bank reconciliation is the process of matching the balance and transactions recorded in bookkeeping software to the corresponding bank statement or bank feed. Differences are investigated so that the bookkeeping file reflects the actual activity of the business as accurately as possible.
A bookkeeping bank reconciliation is not simply clicking “reconcile” in software. Transactions still need to be correctly identified, coded and matched. Unusual items, duplicates, transfers, merchant deposits, bank fees, refunds and personal transactions may require review before they are finalized.
Beyond One-Click Matching
Automated bank rules can speed up reconciliations, but unverified rules often hide classification errors, misplaced personal drawings, and duplicate entries. A disciplined review protects ledger integrity.

Why regular bank reconciliation matters
Reliable bookkeeping depends on complete transaction records. The ATO requires businesses to keep records that explain transactions and support tax reporting. Most business records must generally be kept for five years from when they are prepared or obtained, or when the relevant transaction is completed, whichever is later. Longer periods can apply. Regular reconciliation helps identify entries that do not agree with bank activity.
Confirm whether recorded receipts have reached the bank
Identify payments that are missing from the accounting file
Detect duplicate entries or duplicate bank-feed matches
Separate transfers between business accounts from income or expenses
Identify bank fees, interest or merchant settlement differences
Highlight transactions that need an invoice, receipt or explanation
Improve the reliability of cash and management reports
Who may need outsourced bank reconciliation?
Outsourced bank reconciliation can suit business owners who have current transactions but do not have time to keep accounts reconciled, as well as businesses whose books have fallen behind or contain unexplained differences.
It can be particularly helpful where a business has several bank accounts, credit cards, payment gateways or merchant facilities. The more sources of cash activity a business uses, the more important it becomes to have a repeatable reconciliation process.
Time-Constrained Business Owners
Business owners who have active, current transactions but lack the continuous time needed to keep all accounts reconciled every week or month.
Backlogged or Unexplained Balances
Businesses whose books have fallen behind schedule or contain unexplained differences between bank feeds, statements, and the general ledger balance.
Multiple Accounts & Gateways
Enterprises operating across multiple trading accounts, credit card facilities, POS terminals, and digital payment gateways such as Stripe, PayPal, or Square.
What our bank reconciliation services can include
Our reconciliation procedures systematically verify every transaction line against bank records, identifying discrepancies and ensuring your bookkeeping records remain accurate, complete, and fully substantiated.
Reconciling business bank accounts and credit cards
Comparing ledger lines with actual monthly statements and electronic feeds across all active business accounts.
Matching bank-feed transactions to invoices, bills and existing entries
Ensuring incoming deposits are linked to customer invoices and outgoing payments match supplier bills.
Reviewing transfers between accounts
Confirming inter-entity and inter-account funds transfers balance out without triggering phantom income or costs.
Identifying duplicated or omitted transactions
Detecting feed glitches, duplicate rules, and missing bank statement periods before they skew financial reports.
Reviewing uncleared or long-outstanding entries
Investigating old cheques, unpresented transactions, or orphaned records lingering on the reconciliation report.
Checking merchant deposits or grouped receipts where information is available
Reconciling batch settlements from EFTPOS, Stripe, or Square against individual sales orders and merchant fee deductions.
Flagging transactions that require supporting documents or client clarification
Isolating unknown debits, personal expenses, or missing tax invoices into structured query schedules.
Correcting bookkeeping entries within the agreed service scope
Reallocating miscoded expenses, adjusting incorrect GST tax codes, and rectifying ledger discrepancies within agreed terms.
Bank reconciliation and GST or tax records
A reconciled bank account does not, by itself, prove that every transaction has the correct tax treatment. The accounting entry still needs appropriate supporting information and classification. GST treatment can depend on the transaction and the evidence held. Where determining that treatment requires interpretation or application of GST law, the work should be included expressly within a BAS or tax service scope.
Financially Up can maintain bookkeeping records and identify items that need clarification. BAS preparation, lodgement, tax-return work and tax advice can be handled within a separately agreed scope where required.
How bank reconciliation supports management reporting
Reports are only as useful as the underlying data. If the bank balance is not reconciled, profit and cash reports may include missing or duplicated transactions. Completing reconciliations before regular reporting can therefore improve the reliability of information used by management.
If you need recurring profit-and-loss, balance-sheet or other internal reporting, our management reporting services can build on reconciled bookkeeping records.
How bank reconciliation outsourcing works
Our systematic 4-step workflow ensures every account is reconciled with clarity, transparency, and precision.
Confirm accounts and access
We identify the bank accounts, cards and payment facilities to be reconciled and agree how access and supporting information will be provided.
Review the accounting file
We check the period to be reconciled, opening position and any existing unreconciled or duplicated items.
Match and investigate
Transactions are matched to the bank activity. Exceptions are reviewed and questions are raised where the correct treatment cannot be determined from the available records.
Complete and maintain
Once differences are resolved, reconciliations are completed and can be repeated on an agreed schedule as part of ongoing bookkeeping.
What information may be needed?
A bank reconciliation bookkeeper may need access to your accounting software, bank feeds or statements, credit-card statements, merchant reports, invoices, bills, receipts and explanations for transfers or unusual transactions. Access should be provided through appropriate user permissions rather than sharing personal banking passwords.
Where records are missing, the item can be flagged for follow-up instead of being guessed or forced into an account.
Accounting Software Access
Invited user access to Xero, MYOB, or QuickBooks with appropriate bookkeeping permissions.
Bank & Credit-Card Statements
Electronic bank feeds, monthly PDF statements, and credit-card transaction summaries.
Merchant & Payment Gateway Reports
Settlement schedules and payout breakdowns from Stripe, PayPal, Square, or EFTPOS terminals.
Invoices, Bills & Receipts
Supporting source documentation verifying payments, claims, and customer sales transactions.
Transfer & Unusual Transaction Explanations
Details for owner drawings, inter-account transfers, loan repayments, and uncommon banking entries.
